Overview

What Is an Asset?

An Asset is a record used to track a specific piece of equipment, infrastructure, assembly, device, or other item your organization needs to manage.

Assets help you manage equipment, assemblies, infrastructure, devices, and other physical items.

Connected Records

Assets can connect to locations, tasks, contacts, and other records when your workflow needs it.

Added Information

Notes, files, and notices can be added directly to an asset and only appear on that asset record.

Asset Center

Manage Asset Records From One Place

The Asset Center is the main workspace for viewing, searching, filtering, adding, exporting, and opening asset records.

What You Can Do

Use the Asset Center to find asset records, switch between map and list views, manage categories, create exports, add new assets, and open individual asset records for more detail.

Views & Categories

Map View, List View, and Categories

Assets can be viewed geographically on a map, managed in a structured list, or organized by category.

Map View

Map View displays mapped asset records by geographic position.

  • View asset markers on a map
  • Search and filter assets
  • Filter by asset counts, compliance, open tasks, overdue PM, triggers, or categories
  • Click a map icon to view or open the asset record
  • Create PDF or CSV exports from the map view
  • Add a new asset record

List View

List View displays asset records in a structured list so you can review and manage records quickly.

  • Search and filter asset records
  • Click an asset to open the record
  • Create PDF or CSV exports
  • Add a new asset record
  • Select records for bulk actions

Categories

Categories help organize assets by type so records are easier to filter, review, and manage.

  • View existing asset categories
  • Add new categories
  • Review how many assets are assigned to each category
  • Select a category to view category details

In List View, bulk actions allow you to perform actions across multiple selected asset records at once.

Asset Record

Opening and Managing an Asset

Selecting an asset opens the Asset Record. This is the workspace for one specific asset and the information associated with it.

Find the Asset

Use Map View, List View, categories, search, or filters to find the asset record you need.

Open the Record

Click the asset from the map or list to open the asset’s record workspace.

Manage Details

Review asset details, connected records, and information added directly to the asset.

Asset Details

Asset Details stores the main information for the selected asset.

  • Asset name and category
  • Make, model, type, and size
  • Serial number or identifying details
  • Asset status or compliance status
  • GPS coordinates when mapped
  • Assigned or responsible user when applicable

Connected Records

Connected records maintain a relationship with the asset while still remaining their own records elsewhere in the platform.

  • Related location
  • Assigned tasks
  • Contacts when applicable
  • Assemblies when used in your workflow

Added Information

Notes, files, and notices are added directly to the asset record and only appear on that specific record.

  • Notes such as service instructions or reminders
  • Files such as photos, PDFs, manuals, or documents
  • Notices such as reminders, compliance notices, or customer communications
Important: Connected records and added information are different. Locations, tasks, contacts, and assemblies can be connected to an asset. Notes, files, and notices are added directly to the asset and only appear on the record where they were added.

Sharing & Access

QR Code & Share Access

Every asset record includes a unique QR code and share access tools. These features make it easy to open the record from a mobile device or securely provide temporary access to someone by email.

QR Code

Scan the QR code to quickly open the selected asset record from a mobile device.

Email Access

Send a secure share access invitation to someone by email.

Access Level

Choose the recipient’s access level, including Admin, Manager, User, or Guest.

Access Period

Set how long access remains active, such as 24 hours, 3 days, 7 days, or 30 days.
