Tasks

Manage and track work across your system. Open a task to view assignments, status, activity, and everything connected to that job.

What is a Task?

A Task is a work item used to plan, assign, and track actions that need to be completed in your system. Tasks connect your operational workflow by linking work to specific locations, assets, and assigned users while capturing status, priority, and activity history.

  • Example: A scheduled backflow test task tied to a specific property and assembly.

Tasks Dashboard

The Tasks Dashboard is your central workspace for managing work across your system. This is where you view active tasks, monitor progress, quickly open any task to review or update its details, and visualize mapped tasks geographically.


How To Get Here
  • Click Tasks on the left side panel to open the Tasks Dashboard.
What You Are Seeing
  • Summary counts and a searchable list of your tasks.
  • Filter pills to quickly narrow results by task status.
  • A map view showing mapped task records in the system.
  • Clicking the task row opens the Task Work Page.
  • Using the 3-dot action menu gives access to actions such as opening the Task Summary Page.
Dashboard Controls
  • Filter Pills show quick counts and let you quickly narrow the tasks list. Selecting a pill filters the results to match.
  • Tasks List displays all tasks in your system. Click a task row to open the Task Work Page.
  • Map View displays mapped task records so you can visually see where work is located.
  • 3-Dot Action Menu provides row-level actions, including Details to open the Task Summary Page.
  • + Add Task opens the full Add Task workflow so you can enter complete task details.
  • Quick Add Task creates a new task using a faster, streamlined entry flow.

Tasks Map

The Tasks Map displays all mapped tasks stored in your system. Each marker represents a task record and helps visualize where work is located geographically. The map automatically scales to show all mapped tasks currently in your system.


What You Are Seeing
  • Task Markers representing each mapped task record.
  • Dynamic Icons change based on the system record. Location markers reflect the location type, asset markers reflect the asset type / category, and task markers reflect the task type.
  • The map automatically adjusts its view to include all mapped tasks in the system.
  • Clicking a marker opens a task preview popup with record information.
Map Controls
  • + / − Zoom Controls in the top-left corner allow you to zoom in and out of the map.
  • Search Map helps locate a specific place or address.
  • Layers allows you to toggle map visualization layers.
  • Reload refreshes the map data.
  • Unmapped shows tasks that do not currently have coordinates assigned.
Dashboard Filters
  • The summary counters above the map act as filters.
  • Clicking a counter filters both the map markers and the task record list below.
  • This allows you to quickly focus on a specific category of tasks.
Opening a Task from the Map
  • Click a task marker on the map.
  • A preview popup will appear showing the task name, task type, linked location details, status, and record context.
  • Click View to open the full Task Work Page.

Task Work Page

The Task Work Page is the primary working view for a selected task. This is where users go to review the task, complete task-specific work, and access the main task tabs in one place.


How To Get Here
  • From Tasks Dashboard, click on any task in the list to open its Task Work Page.
What You Are Seeing
  • A task header showing the task name, type, due date, and current status.
  • A tabbed workspace for reviewing and working inside the selected task.
  • The main Task tab, which serves as the task work area.
Task Work Page Tabs
  • Task is the work area where task-specific forms and actions are completed.
  • Notes shows notes tied to the selected task.
  • Files shows files tied to the selected task.
  • Location shows the linked location information for the task.
How It Is Used
  • Users open this page to perform work directly on the task.
  • The Task tab is where task-specific data is entered and completed.
  • Available actions may vary depending on the user’s role and the task’s current status.

Task Summary Page

The Task Summary Page displays the full record for a specific task. This page organizes task-related information into summary cards so you can quickly review notes, files, activity, and linked location or asset details.


How To Get Here
  • From the Tasks Dashboard, open the 3-dot action menu for a task.
  • Click Details to open the Task Summary Page.
What You Are Seeing
  • A header area that identifies the task and its current status.
  • The main summary workspace for reviewing task-related records.
  • Task Summary Cards that provide quick access to related information.

Task Summary Cards

Task Summary Cards provide a snapshot of what’s currently connected to the selected task. Use these cards to review recent information at a glance, then open the full page when you need to view and manage everything in that category.

Notes Summary Card

This card shows notes that are tied to the selected task.

  • Example: Field notes recorded during a backflow test, access instructions for the site, or follow-up guidance for the next visit.

What It Shows
  • The most recent note in the snapshot.
  • Note details such as the title, description preview, created date / time, and the user who created it.
  • Attachment and comment indicators when included in the note.
  • A visibility badge showing the note’s access level: Public, Internal, or Private.
When You Click It
  • Click the note to open the full note window and view that specific note in detail.
  • Click Notes in the header to open the full Notes page for the task, where you can search, filter, and manage all task notes.

Files Summary Card

This card shows files that are tied to the selected task.

  • Example: A completed test report PDF, site photos captured during the visit, or supporting compliance documentation.

What It Shows
  • The most recent file in the snapshot.
  • File details such as the file name, category, file type, and file size.
  • The date the file was added and the user who uploaded it.
  • A visibility badge showing the file’s access level: Public, Internal, Private, or Link Only.
When You Click It
  • Click the file to open the full view for that specific file, including its details.
  • Click Files in the header to open the full Files Summary Page for the task, where you can search, filter, and perform actions across all files.

Source Details Summary Card

This card shows where the selected task originated and provides context around how it was created.

  • Example: A manually created work order assigned to a user, or a task created by a system trigger tied to a specific contact and service address.

What It Shows
  • The task source such as Manual, System, or Triggered.
  • The related work order and task reference.
  • Assignment details including the assigned user when applicable.
  • The trigger or automation source when applicable.
  • Contact information such as contact name, phone, and email.
  • The address tied to the task or linked record.
When You Click It
  • This card is informational only and does not currently open a separate page.

Activity Summary Card

This card shows recent task-related activity tied to the selected task.

  • Example: A status update showing when the task moved from Open to Active, Completed, or Closed.

What It Shows
  • Recent activity entries related to the task.
  • Activity details such as the action performed, the user who performed it, and the date / time.
  • Status indicators that reflect the task’s current state.
When You Click It
  • Click Activity in the header to open the full activity list for the task.

Asset Details Summary Card

This card shows the asset that is linked to the selected task.

  • Example: A backflow assembly record connected to the task so you can confirm which equipment the work applies to.

What It Shows
  • A high-level view of the asset identifiers tied to the task.
  • Key asset details that help confirm the equipment associated with this work item.
When You Click It
  • This card itself does not open a separate asset details page.

QR Code & Share Access

QR Code & Share Access provides a fast way to open and share the selected task’s records. When available, the QR code can be scanned from a mobile device to quickly pull up the task in the field.


What It Does
  • Scan the QR code to quickly open the task from a mobile device.
  • Click the QR code to open the Share Access window.
  • Send a secure share link by email to allow someone to view this Task Summary Page.
