Assets

Manage all assets in your system. Search, filter, and organize your records – then open an asset to view everything connected to it.

What is an Asset?

An Asset is a record used to track a specific piece of equipment or infrastructure tied to a location. Assets serve as the central record for ongoing work and history – tasks, notes, files, notices, and activity can all be linked directly to the asset.

Assets Dashboard

The Assets Dashboard is your directory for every asset in your system. This is where you view and manage the full assets list, review a quick snapshot of each record, and visualize mapped assets geographically.


How To Get Here
  • Click Assets on the left side panel to open the Assets Dashboard.
What You Are Seeing
  • Summary counts and a searchable list of your assets.
  • Filter pills that help you quickly narrow results.
  • A map view showing mapped asset records in the system.
  • Clicking an asset row opens the Asset Summary Page.
Dashboard Controls
  • Filter Pills show quick counts and let you quickly narrow the assets list.
  • Assets List displays all saved assets. Click any row to open the Asset Summary Page.
  • Map View displays mapped asset records so you can visually see where assets are located.
  • + Add Asset opens the full Add Asset workflow.
  • Quick Add Asset creates a new asset using a faster entry flow.

Assets Map

The Assets Map displays all mapped assets stored in your system. Each marker represents an asset record and helps visualize where assets exist geographically. The map automatically scales to show all mapped assets currently in your system.


What You Are Seeing
  • Asset Markers representing each mapped asset record.
  • Dynamic Icons change based on the system record. Location markers reflect the location type, asset markers reflect the asset type category, and task markers reflect the task type.
  • The map automatically adjusts its view to include all mapped assets in the system.
  • Clicking a marker opens an asset preview popup with record information.
Map Controls
  • + / − Zoom Controls in the top-left corner allow you to zoom in and out of the map.
  • Search Map helps locate a specific place or address.
  • Layers allows you to toggle map visualization layers.
  • Reload refreshes the map data.
  • Unmapped shows assets that do not currently have coordinates assigned.
Dashboard Filters
  • The summary counters above the map act as filters.
  • Clicking a counter filters both the map markers and the asset record list below.
  • This allows you to quickly focus on a specific category of assets.
Opening an Asset from the Map
  • Click an asset marker on the map.
  • A preview popup will appear showing the asset name, address, serial or identifying details, status, and record type.
  • Click View to open the full Asset Summary Page.

Asset Summary Page

The Asset Summary Page is the workspace for a specific asset selected from the Assets Dashboard. This is where you view and manage all records tied to that asset – such as notes, files, tasks, asset details, GPS coordinates, notices, activity, and the related location.


How To Get Here
  • From Assets Dashboard, click any asset in the list to open its Summary Page.
What You Are Seeing
  • A header showing the asset name and primary identifier details.
  • The main summary workspace for the selected asset.
  • Asset Summary Cards that provide quick access to related records.

Asset Summary Cards

Asset Summary Cards provide a snapshot of what’s currently linked to the selected asset. Use these cards to review recent activity at a glance, then open the full page when you need to view and manage everything in that category.

Notes Summary Card

This card shows notes that are tied to the selected asset.

  • Example: Installation constraints, clearance requirements, or service access instructions for the asset.

What It Shows
  • The most recent note in the snapshot.
  • Note details such as the title, description preview, created date/time, and the user who created it.
  • Attachment and comment indicators that show how many attachments or comments are included in the note.
  • A viewing access badge on the right side that reflects the note’s visibility setting: Public, Internal, or Private.
When You Click It
  • Click the note itself to open the full note window and view that specific note in full screen.
  • Click Notes in the header to open the full Notes Summary Page for the asset, where you can search, filter, and perform actions across all notes.

Files Summary Card

This card shows files that are tied to the selected asset.

  • Example: Asset photos, manuals, specification sheets, or testing documents attached directly to the asset record.

What It Shows
  • The most recent file added for the asset.
  • A thumbnail preview, file name, file category (photo, manual, SOP, etc.), file type (JPEG, PDF, etc.), and file size.
  • The date the file was added and the user who uploaded it.
  • A viewing access badge on the right side: Public, Internal, Private, or Link Only.
When You Click It
  • Click the file to open the full view for that specific file, including its details.
  • Click Files in the header to open the full Files Summary Page for the asset, where you can search, filter, and perform actions across all files.

Tasks Summary Card

This card shows tasks that are currently linked to the selected asset.

  • Example: A backflow test task assigned to this asset with a due date and active status.

What It Shows
  • The first 5 tasks based on Active status.
  • Each row includes the task name, task type, and work order number.
  • The right side includes key indicators such as priority, status, GPS indicator, action menu, and due date.
  • Pagination appears when more than 5 tasks are linked to the asset.
When You Click It
  • Click a task to open the full task view for that individual task where you can view and manage its details.
  • Click Tasks in the header to open the full Tasks Summary Page for the asset, where you can search, filter, and perform actions across tasks.

Asset Details Summary Card

This card provides a quick snapshot of the core information saved for the selected asset.

  • Example: Confirming the asset name, identifying details, and linked location before assigning work or reviewing service history.

What It Shows
  • Asset name and linked location address.
  • Asset ID # and responsible user.
  • Asset description for quick context.
  • Manufacturer details including make, model, and type.
  • Physical identifiers such as size, serial number, and part number.
When You Click It

Click the Asset Details header to open the full Asset Details Summary Page. This page serves as the control center for the asset.

GPS Coordinates Summary Card

The GPS Coordinates Summary Card displays the saved geographic position for the selected asset.

  • Example: Latitude and longitude used by field staff to verify the exact position of a backflow assembly on-site.

What It Shows
  • The saved latitude and longitude values for the asset.
  • A mini map preview with a location pin.
  • Basic map controls and view options (when available).
When You Click It
  • Click the map area to open the full GPS Coordinates view for the asset, where you can review and update the asset’s position.

Notices Summary Card

The Notices Summary Card shows the most recent notices linked to the selected asset.

  • Example: A compliance reminder or service notice issued for this specific asset.

What It Shows
  • The most recent notices associated with the asset (snapshot view).
  • Key details such as notice type, title, short preview, and date/time.
  • Status indicators (Open, Pending, Resolved) and the notice number.
When You Click It
  • Click a notice to open the notice preview and view/manage its details.
  • Click Notices in the header to open the full Notices Summary Page for the asset.

Activity Summary Card

The Activity Summary Card shows recent task activity linked to the selected asset. Use this card to quickly review what work has occurred and who performed it.

  • Example: A task update showing when a backflow test moved from Open to Active, Completed, or Closed.

What It Shows
  • Recent activity entries related to tasks tied to the asset.
  • Activity details such as the task name/type, action performed, user, and date/time.
  • An IP address associated with the activity record.
  • Status icons that reflect task status (Open, Active, Completed, Closed, On Hold, Inactive).
When You Click It
  • Click Activity in the header to open the full activity list for the asset.

Location Details Summary Card

The Location Details Summary Card provides a quick snapshot of the location associated with the selected asset.

  • Example: Viewing the service address, location type, or primary contact tied to the asset’s site.

What It Shows
  • The linked location name and primary identifiers.
  • Service address and core location details.
  • Primary contact information when available.
  • Saved location identifiers associated with the asset’s site.
When You Click It
  • This card itself does not open a separate details page.

QR Code & Share Access

QR Code & Share Access provides a fast way to open and share the selected asset’s records. At the bottom of the Asset Summary Page, you’ll see a QR code that is unique to that asset.


What It Does
  • Scan the QR code to quickly open the asset’s records from a mobile device.
  • Click the QR code to open the Share Access window.
  • Send a secure share link by email to allow someone to view this Asset Summary Page.
