Locations

Manage all locations in your system. Search, filter, and organize your records – then open a location to view everything connected to it.

What is a Location?

A Location is a record used to represent a real-world site. A location can be identified using an address, GPS coordinates, or PLSS. R2 recommends entering at least one identifier to create a location, and you can include multiple identifiers if your workflow needs it.

Locations Dashboard

The Locations Dashboard is your directory for every location in your system. This is where you view and manage your full locations list, review a quick snapshot of each record, and visualize mapped locations geographically.


How To Get Here
  • Click Locations on the left side panel to open the Locations Dashboard.
What You Are Seeing
  • Summary counts and a searchable list of your locations.
  • Filter pills to narrow results fast.
  • A map view showing mapped location records in the system.
  • Clicking a location row opens the Location Summary Page.
Dashboard Controls
  • Filter Pills show quick counts and let you quickly narrow the locations list. Selecting a pill filters the results to match.
  • Locations List displays all added locations. Click any row to open the Location Summary Page.
  • Map View displays mapped locations so you can visually see where records are located.
  • + Add Location opens the full Add Location workflow so you can enter complete location details.
  • Quick Add Location creates a new location using a faster, streamlined entry flow.

Locations Map

The Locations Map displays all mapped locations stored in your system. Each marker represents a location record and helps visualize where locations exist geographically. The map automatically scales to show all locations currently in your system.


What You Are Seeing
  • Location Markers representing each mapped location record.
  • Dynamic Icons change based on the system record. Location markers reflect the location type, asset markers reflect the asset type category, and task markers reflect the task type.
  • The map automatically adjusts its view to include all locations in the system.
  • Clicking a marker opens a location preview popup with record information.
Map Controls
  • + / − Zoom Controls in the top-left corner allow you to zoom in and out of the map.
  • Search Map helps locate a specific place or address.
  • Layers allows you to toggle map visualization layers.
  • Reload refreshes the map data.
  • Unmapped shows locations that do not currently have coordinates assigned.
Dashboard Filters
  • The summary counters above the map act as filters.
  • Clicking a counter filters both the map markers and the location record list below.
  • This allows you to quickly focus on a specific category of locations.
Opening A Location From The Map
  • Click a location marker on the map.
  • A preview popup will appear showing the location name, address, status, and record identifier.
  • Click View to open the full Location Summary Page.

Location Summary Page

The Location Summary Page is the workspace for a specific location you selected from the Locations Dashboard. This is where you view and manage records linked to that location – such as notes, files, tasks, assets, GPS coordinates, contact / location details, notices, and task activity.


How To Get Here
  • From Locations Dashboard, click any location in the list to open its Summary Page.
What You Are Seeing
  • A header showing the location name and primary identifier details.
  • The main summary workspace for the selected location.
  • Location Summary Cards that provide quick access to related records.

Location Summary Cards

Location Summary Cards provide a snapshot of what’s currently linked to the selected location. Use these cards to review recent activity at a glance, then open the full page when you need to view and manage everything in that category.

Notes Summary Card

This card shows notes that are tied to the selected location.

  • Example: Gate entry instructions, meter room access details, or special shutoff guidance for the site.

What It Shows
  • The most recent note in the snapshot.
  • Note details such as the title, description, created date / time, and the user who created it.
  • Attachment and comment icons that indicate how many attachments / comments are included in that note.
  • A viewing access badge on the right side that reflects the note’s visibility setting: Public, Internal, or Private.
When You Click It
  • Click the note itself to open the full note window and view that specific note in full screen.
  • Click Notes in the header to open the full Notes Summary Page for the location, where you can search, filter, and perform actions across all notes for that location.

Files Summary Card

This card shows files that are tied to the selected location.

  • Example: Site photos, backflow assembly manuals, SOP documents, or other files for the property.

What It Shows
  • The most recent file added for the location.
  • A thumbnail preview, the file name, file category (photo, manual, SOP, etc.), file type (JPEG, PDF, etc.), and file size.
  • The date it was added and the user who added it.
  • A viewing access badge on the right side: Public, Internal, Private, or Link Only.
When You Click It
  • Click the file to open the full view for that specific file, including its details.
  • Click Files in the header to open the full Files Summary Page for the location, where you can search, filter, and perform actions across all files.

Tasks Summary Card

This card shows tasks that are currently linked to the selected location.

  • Example: A backflow test task assigned to this property with a due date and active status.

What It Shows
  • The first 5 tasks based on Active status.
  • Each row includes the task name, location type / details, task type, and work order number.
  • The right side includes key indicators such as priority, status, GPS indicator, action menu, and due date.
  • Pagination appears when more than 5 tasks are linked to the location.
When You Click It
  • Click a task to open the full task view for that individual task where you can view and manage its details.
  • Click Tasks in the header to open the full Tasks Summary Page for the location, where you can search, filter, and perform actions across tasks.

Assets Summary Card

This card shows assets that are currently linked to the selected location.

  • Example: A backflow assembly record for this location with tasks linked for ongoing testing and service history.

What It Shows
  • The 3 most recently added assets.
  • Each row includes the asset name, location type / details, asset category, and how many tasks are linked to it.
  • The right side includes the asset number, a GPS indicator, and an action menu.
  • Pagination occurs after more than 3 assets are in the list.
When You Click It
  • Click an asset to open the Asset Details Page where you can view and manage records for that asset.
  • Click Assets in the header to open the full Assets Summary Page for the location, where you can search, filter, and perform actions across assets.

GPS Coordinates Summary Card

This card displays the saved GPS coordinates for the selected location.

  • Example: Latitude and longitude used by field staff to quickly verify the correct site on a map.

What It Shows
  • The numerical GPS coordinates for the location.
  • A mini map view with a location pin and zoom controls.
  • A map style toggle (satellite or OSM view).
When You Click It
  • Click the map area to open the full GPS Coordinates Summary Page, where you can view and update the location’s coordinates.

Location Details Summary Card

This card provides a quick snapshot of the core information saved for the selected location.

  • Example: Confirming the service address and primary contact before assigning work to the location.

What It Shows
  • Location name and location type.
  • Service address when available.
  • Primary contact information when assigned.
  • Saved parcel identifiers (Block, Lot, Parcel) when present.
  • Saved latitude and longitude values for the location.
When You Click It

Click the Location Details header to open the full Location Details Summary Page. This page serves as the control center for the location.

Notices Summary Card

This card shows the most recent notice tied to the location.

  • Example: An annual backflow test reminder, compliance notice, or customer letter associated with this location.

What It Shows
  • The most recent notices issued for the location (snapshot view).
  • Key details such as notice type, title, short description/preview, and date/time.
  • Status indicators (ex: Open, Pending, Resolved) and the notice number.
When You Click It
  • Click a notice to open a preview of the notice file and view / manage the notice details.
  • Click Notices in the header to open the full Notices Summary Page for the location, where you can view/manage all notices.

Activity Summary Card

This card shows recent task activity tied to the selected location.

  • Example: A task status update showing when a backflow test moved from Open to Active, Completed, or Closed.

What It Shows
  • Recent activity entries related to tasks at the location.
  • Activity details such as the task type/name, the action that occurred, the user who performed it, and the time/date.
  • An IP address associated with the activity record.
  • Status icons that reflect task status (Open, Active, Completed, Closed, On Hold, Inactive).
When You Click It
  • Click Activity in the header to open the full activity list for the location.

QR Code & Share Access

QR Code & Share Access provides a fast way to open and share the selected location’s records. At the bottom of the Location Summary Page, you’ll see a QR code that is unique to that location.


What It Does
  • Scan the QR code to quickly open the location’s records from a mobile device.
  • Click the QR code to open the Share Access window.
  • Send a secure share link by email to allow someone to view this Location Summary Page.
