Contacts

Track the people connected to your operations. Contacts help you centralize key details and keep location and asset records tied to the right individuals.

What is a Contact?

A Contact is a record used to store information about an individual or an organization in your system. Contacts can be linked to locations and assets so your team always knows who is associated with each site or piece of equipment. You can also leave notes on a contact to capture important context for future work.

  • Example: A property manager (individual) or a management company (organization) linked to multiple locations and related assets.

Contacts Dashboard

The Contacts Dashboard is your directory for all contact records in your system. This is where you search, filter, and manage your contacts list, then open a contact when you need to view or update their details.


How To Get Here
  • Click Contacts on the left side panel to open the Contacts Dashboard.
What You Are Seeing
  • A searchable list of contacts saved in your system.
  • Quick identifying details to help you select the correct contact record.
  • Clicking a contact row opens the Contact Summary Page.
Dashboard Controls
  • Search / Filters help you quickly find the right contact.
  • Contacts List displays all contacts. Click any row to open the Contact Summary Page.
  • + Add Contact opens the workflow to create a new contact record.
  • Quick Add Contact lets you rapidly create a basic contact without going through the full add workflow.

Contact Summary Page

The Contact Summary Page is the workspace for a specific contact you selected from the Contacts Dashboard. This is where you view and manage contact information, leave notes, and review any linked locations and assets connected to that contact.


How To Get Here
  • From Contacts Dashboard, click any contact in the list to open their Summary Page.
What You Are Seeing
  • A header area that identifies the contact (individual or organization).
  • The main summary workspace for managing contact details and notes.
  • Contact Summary Cards that provide quick access to related records.

Contact Summary Cards

Contact Summary Cards provide a snapshot of what’s connected to the selected contact. Use these cards to review key information at a glance, then open the full view when you need to manage records in that category.

Details Summary Card

The Details Summary Card provides a quick snapshot of the contact’s core information. From this card, you can view and manage key identifiers, phone numbers, emails, and other saved contact details.

  • Example: Confirming the contact’s name, phone number, and email address before linking them to a location or asset.

What It Shows
  • Contact name and contact type (individual or organization).
  • Primary phone number and email address (when saved).
  • Any additional contact identifiers or fields your system tracks.
When You Click It
  • This card itself does not open a separate page.

Notes Summary Card

This card shows notes tied to the selected contact.

  • Example: Best contact times, preferred communication method, billing instructions, or coordination notes for locations and assets linked to this person.

What It Shows
  • The most recent note in the snapshot.
  • Note details such as title, description preview, created date / time, and user.
  • Attachment and comment indicators (when included).
  • A visibility badge showing the note’s access level: Public, Internal, or Private.
When You Click It
  • Click the note to open the full note view.
  • Click Notes in the header to open the full Notes page for the contact.

Locations Summary Card

This card shows locations linked to the selected contact.

  • Example: A property manager tied to multiple sites, or a gate contact linked to specific facilities your team services.

What It Shows
  • A snapshot list of locations connected to the contact.
  • Each row typically includes the location name and key identifiers (address / GPS / PLSS when available).
  • Quick context to confirm you’re looking at the correct sites tied to this person.
When You Click It
  • Click a location row to open that location’s Summary Page (when available).
  • Click Locations in the header to open the full linked locations list for the contact.

Assets Summary Card

This card shows assets linked to the selected contact.

  • Example: Backflow assemblies or equipment tied to properties where this contact is responsible for coordination or compliance follow-up.

What It Shows
  • A snapshot list of asset records connected to the contact.
  • Key asset identifiers (such as asset name, type, or tag) to help confirm the correct equipment.
  • Quick visibility into how this contact is related to your tracked assets.
When You Click It
  • Click an asset row to open that asset’s Summary Page (when available).
  • If an Assets header / link is shown, click Assets to open the full linked assets list for the contact.
