How to Add Assets

Create an asset record, link it to the correct location, and continue building it with contacts, tasks, files, GPS information, and related record details.

Before You Start

Understand what the asset record is used for and what information you may want ready before you begin.

What an Asset Is

An Asset is a record used to track a specific piece of equipment or infrastructure in your system. Assets can be linked to locations, contacts, tasks, files, notes, and notices.

What You May Need

You may want the linked location, asset category, asset name, Asset Number, manufacturer details, lifecycle information, vendor details, GPS coordinates, and any supporting files ready before you begin.

Recommended Flow

Create the asset record first, then continue building it by linking related records and adding supporting details from inside the asset record.

Add Asset

Create the asset record and enter the information needed to identify, organize, and track it in your system.

Open the Assets page

Open the Assets page from the left sidebar navigation.

Start a new asset record

Click Add Asset to begin creating a new asset or assembly record.

Link the asset to a location

Use the Location field to link the asset to an existing location record so it stays tied to the correct site.

Choose the asset type category

Select the Asset Type Category to classify the asset or assembly correctly in your system.

Enter the basic asset identifiers

Enter the Asset Name, Asset Number, and Description so the record is easy to recognize and manage.

Add a Description to provide additional context about the asset.

Enter manufacturer details

Enter details such as make, model, type, size, serial number, and part number to support tracking, service, and reporting.

Add lifecycle information

Enter lifecycle details to support service planning, replacement planning, and long-term asset tracking.

Assign the responsible party

Use the Responsible Party field to assign the asset to a user in your account for ownership or accountability.

Add cost and unit details

Enter cost and unit information if you use those fields for budgeting, inventory tracking, or lifecycle planning.

Assign a vendor

Use the Vendor field to search your contacts and associate an existing contact record with the asset.

Upload supporting files

Attach documents, photos, manuals, or other supporting records related to the asset.

Add GPS coordinates

Enter latitude and longitude if you want to define the precise GPS position of the asset.

Add notes

Use notes to store additional details, internal context, or record-specific information.

Save the asset

Click Add Asset to save and create the asset record.

Open and review the record

Open the newly created asset record, review the saved information, and continue building the record if needed.

Build the Asset Record

Once the asset exists, continue building it so the record stays useful, complete, and connected.

Link Connected Records

Add contacts, tasks, files, notes, notices, and related records so all activity stays tied to the correct asset.

Keep It Searchable

Use consistent names, Asset Numbers, categories, and linked records so the asset stays easy to find and manage.

Review the Summary Page

After saving connected records, review the asset summary to confirm everything appears where expected.
